Job overview

We are looking for a motivated and enthusiastic Associate to join our People Team and cover People administration, payroll preparation and support (payroll is run through external partners), employee support and contract renewal. The HR Operations Associate will report to the HR Operations Manager based in Geneva and work closely with the other members of the People Team based in Amsterdam and Geneva.

 

Responsibilities:

Provide support to HR Operations across all locations (Amsterdam, Geneva, London, NY, Singapore):

  • Manage all HR administration to ensure a seamless payroll process, including entering salary payments in the banking online portals
  • Prepare and send monthly payroll data and instructions to our different local payroll providers
  • Provide administrative support to the People team, including filing, data entry, and updating employee profiles
  • Enter new employee data and keep accurate records up to date in all internal and external portals (pension, NS, etc), including leave and sickness
  • Manage contract preparation for new hires and renewal for existing employees through our HRIS (HiBob)
  • Handle work permit applications in Switzerland and coordinate visa requests in the Netherlands
  • Process invoices from the People Team’s third parties with the accounts payable team
  • Support employees with their questions related to HR processes, benefits, and policies
  • Collaborate with the People Team on projects aimed at improving efficiency and employee satisfaction

 

Qualifications, Experience and Skills

  • Bachelor’s degree in Human Resources Management, Business Administration, Organizational Development, Accounting or any similar and related field
  • 1 to 3 years experience in Human Resources in a business environment and at least 1 year of experience in payroll processing through external partners.
  • Basic knowledge of Dutch Labour Law would be an asset.
  • Having attention to detail and process-oriented
  • Being enthusiastic, proactive, a team player and innate collaborator
  • Easily adapting and responding to changing priorities and situations.
  • Establishing connections and understanding the need to build trust.
  • Setting high standards for quality and quantity, consistently achieving goals, handling setbacks, quickly understanding bottlenecks, proposing solutions, and solving issues.
  • Taking prompt action independently, proactively, and quickly. Proactively follow up on any points, including employees’ questions.
  • Expressing opinions, information, and key points clearly and fluently, projecting credibility.
  • Fluency in English both written and spoken. Fluency in Dutch is highly desired.
  • Strong Microsoft Office365 skills (PowerPoint, Excel, Word, Outlook, etc.)

The position is full-time, based in Amsterdam. It is initially a 1-year fixed-term contract with an expectation to extend.
